Cut Through Faster · Hope demo
Privacy Policy
Version 2026-10-06 · Updated 6 October 2026
This covers the Hope demo pages — the personal link we sent your practice, and the public line on our website — the conversation you can have on them with Hope, our AI receptionist, and the callback form on our website, including the call Hope makes when you use it. It explains what we collect, why, who handles it, and what you can ask us to do about it.
Who we are
Cut Through Faster ("CTF") is a South African business that provides AI receptionists. We decide what is collected on these pages and why, so under the Protection of Personal Information Act (POPIA) we are the responsible party for it.
Questions and requests go to our Information Officer at privacy@cutthroughfaster.com.
What we held before you opened the link
To prepare your demo we put together a short profile of your practice from publicly available business information, such as its website and online business listings: its name, its suburb, the services it offers (for a law firm, the areas of law it practises) and its opening hours.
We also hold the name and work email address of the person we wrote to, taken from the business’s own website or from a business-contact directory.
That profile is what the page shows under "What Hope already knows", and it is all Hope is told about your practice.
The public line on our website does not use your practice at all: Hope answers for a sample business we made up.
What the page records
When the page is opened, and when a call starts or ends, we record that it happened, when, how long the call lasted and how it ended, whether the microphone was refused, and the kind of browser and device you used (the "user agent" your browser sends).
We do not store your IP address. Cloudflare, which hosts the page, has to handle it to deliver the page to you, and keeps short-lived technical logs.
On the public line, to limit how many calls one person can make, we keep a scrambled version of your IP address with the record of each call: a one-way code made from the address, which cannot be turned back into it. We delete that code after 30 days.
The page uses no advertising or tracking cookies.
The conversation with Hope
When you tap "Talk to Hope", your browser asks to use your microphone and sends what you say to Vapi, the voice platform that runs the conversation. Vapi passes the audio and text to the speech-recognition, AI language-model and voice providers it uses, so that Hope can understand you and answer.
Vapi keeps a recording and a transcript of the conversation. We can listen to and read them.
The microphone is used only during the call. A personal link allows one conversation of up to three minutes; the public line allows calls of up to a minute, a few per person each hour.
Hope is a demonstration. Please do not give her real patient or client details, or anyone else’s personal information: whatever is said is recorded.
Callback requests from our website
If you ask us to call you back using the form on cutthroughfaster.com, we keep what you enter — your name, type of business, phone number and message — with the time you sent it, the kind of browser you used, and a scrambled version of your IP address made the same way as above, which we use to stop the form being flooded.
What you enter is also emailed to us, so we see it straight away. The scrambled IP address and browser type are not.
The first call back usually comes from Hope, on a weekday between 08:00 and 18:00 or a Saturday between 09:00 and 13:00. She tells you at the start that she is an AI and that the call is recorded, asks what you need, and arranges a call with one of our team. If you would rather speak to a person straight away, tell her, or call us yourself.
Her call runs through Vapi, as described above. Vapi keeps a recording and a transcript, and we are emailed her notes and the transcript so we can follow up. If you do not answer, she tries once more about an hour later and may leave a short voicemail.
Why we use it
To run the demo: to show Hope your practice’s details, and to limit each link to one conversation.
To call you back when you ask us to.
To limit how often the public line and the callback form can be used, so they stay available to everyone.
To see whether the demo works — which links are opened, which calls connect, where they fail — and to improve Hope from what callers ask her.
To follow up with your practice about CTF. You can tell us at any time to stop, and we will.
We do not sell this information or share it for advertising.
Who else handles it
Cloudflare, Inc. — Hosts this page. Handles your IP address to deliver it and keeps short-lived technical logs. Located in: Global network.
Supabase, Inc. — Stores the practice details shown on the page, the record of what happened on it, and callback requests sent from our website. Located in: Ireland (European Union).
Vapi — Runs the conversation with Hope, on these pages and when she phones you back, and keeps its recording and transcript, using speech-recognition, AI language-model, voice and telephone providers to understand and answer you. Located in: United States.
Resend — Emails us each callback request sent from our website, and Hope’s notes and transcript of her call back, so we can follow up. Resend is a United States company; our emails are sent from its Irish region. Located in: Ireland (European Union).
If you book a call with us, you do that on our booking page (currently Calendly), which has its own privacy policy.
Sending information outside South Africa
The records are stored and callback emails are sent in Ireland, and the conversation is handled in the United States, so this information leaves South Africa.
Section 72 of POPIA allows this where the recipient is bound by protections substantially similar to those POPIA sets. We rely on each provider’s data processing terms for that.
How long we keep it
We keep the practice profile, the page records, the conversation and any callback request only for as long as we need them to follow up with you about CTF, and we delete them when you ask us to.
The scrambled IP address kept with public line calls and callback requests is deleted after 30 days, automatically.
We keep nightly backup copies of these records for seven days, so that a mistake cannot lose them. The copies do not include the scrambled IP address, and anything we delete is gone from them within seven days.
Your rights
Under POPIA you may ask what we hold about you or your practice, ask us to correct it, and ask us to delete it. You may also object to our contacting you, and we will stop.
Send requests to privacy@cutthroughfaster.com. If you are unhappy with our answer, you may complain to the Information Regulator of South Africa.
Security
Your browser never talks to our database directly: every read and write goes through our own server, and a demo link cannot be used to look up any other practice.
Demo pages are hidden from search engines, so a practice’s name does not appear in search results.
No system is perfectly secure. If a breach affects information we hold about you, we will tell you and the Information Regulator, as section 22 of POPIA requires.
Changes
If what these pages collect changes, we will update this policy and the date at the top of it.
